Best Practices of Communication for Business Analyst

Communication is one of the required basic skill of a Business Analyst. Geographical time differences, Travel expenses, Cultural differences make communication challenging and interesting.


Communication involves verbal, Non-verbal and Written communication. As a Business Analyst, one is expected to deliver certain documents.

  • There are many tools that can help both the trying and experienced Business Analysts in their mission to keep up a steady communication with stakeholders. Example tools are

    • Video chat and Internet messaging

    • Video conferencing

  • Business Analysts can discover what stakeholders truly need by driving and connecting with discussions on private social networks, building cooperation, requesting for suggestions and getting constant reactions that can be later approved informal setting.

Some of the mistakes where Analysts would like to avoid while preparing Documents

  • Not following standards:-Standards are normally not followed and pre-defined templates are not used.

  • Confusing Terminology: Glossary is not maintained. A glossary containing the meaning of the considerable number of terms utilized should be provided.


  • Boring Prose: Repetition of requirements in different places would make a boring document. It makes document management, change management difficult.

  • Solution-Bias: Requirements Document should not portray solution thoughts or contain subtle details of execution. It should describe just what the business needs and how the requirements will be executed.

Few points about requirements elicitation

  • Stakeholders don’t generally realize what they need and when they do, they don’t let us know exactly all what they need. This can happen where a stakeholder expects that the Business analyst already knows the information or the stakeholder is not able to articulate exactly what they need due to communication gaps or the stakeholder is unable to visualize all that he needs.


  • As we experience new information or product defects, Investigators frequently need to go back and refine the requirements while limiting loss of work.

  • External variables which we have no control can make requirements change often.

  • Even where concerns are isolated, errors in expressing or speaking can be made since it is handled by people.

  • We are frequently affected by pre-conceived ideas. Which may make us miss-interpret or distort requirements along the line.
